ABSTRACTS - Submission Requirements and Instructions

All abstracts must be submitted in an electronic media format and will be reviewed . They may be submitted by e-mail or on disk to your Section Secretary before the deadline.  The Section Secretary should review the abstract for proper format and verify that the paper was presented at the annual meeting. Late abstracts cannot be published. Your abstract MUST be in 10 point font and fit completely within margins of 1 inch left & right & top and 7.25 bottom. If it does not fit, the abstract must be shortened. You may not use a smaller font. The font size must be 10 point. NOTE: Unless an earlier draft is requested by your Section's Secretary, abstracts will be due at the Annual Meeting. Only abstracts of papers actually presented at the Annual Meeting by Academy Members will be published in the Proceedings issue of the Virginia Journal of Science.

Instructions for Section Editors
for the reviewing and handling of abstract files.
Virginia Academy of Science Section Secretariesare supposed to pass the abstracts to the section editor for final processing.
Preparations for each annual meeting are always under way. As Section Editor, you are responsible for the final collection and handling of your section's abstracts. Please check out the instructions above for preparing abstracts. 
1) When you receive the abstract from the Secretary, you will need to check content and spelling and make sure the abstract meets the required format. If it doesn't, you may send it back to the author for correction or correct it yourself. 
2) When you have all the abstracts, assemble all the abstracts in a folder either as separate files or in a single file. In either case they should be assembled in order of presentation. If they are in separate files, give each abstract file a file name and number which indicates the order.
EXAMPLE for the biology section, the folder name should be BIOLOGY, the files in the folder could be: bio-1.wpd, bio-2.doc, bio-3.doc, etc If you put all the abstracts into one file, name the file with the section name or shortened version of the section name.
EXAMPLE for Astronomy, Math & Physics Section, use something like Physics.doc
Include the poster session abstracts at the end of the file or last in the list of files.
3) e-mail the files to me for publication. In your e-mail, please tell me  how many abstracts are included, if any are missing, if any are additions, substitutions or changes not in the program. Include any other information necessary in the e-mail.
